Your hotel already has a database of guests who are familiar with your rooms, your hospitality, and your property. But once their stay is over, what reason do you give them to return?

Hotel email marketing allows you to extend that relationship and stay top-of-mind with your past guests. A low-season getaway, a new experience, a local event, or a special perk for regulars can all be the starting point for their next stay.

The goal isn't to send more emails, but to send the right message to the right guests, with a clear reason to book.

Here are 7 campaign ideas to adapt to your property's services and business goals.

Before sending a campaign: start with the right need

An email campaign shouldn't start with the question "What should we send?", but with a specific goal.

Is your hotel looking to fill a slow period? Bring back past guests? Promote a new offer? Leverage a local event to generate bookings?

Each goal corresponds to a different audience.

A family offer won't have the same appeal for a regular business traveler. Similarly, a last-minute offer can be particularly relevant to guests who live near the property.

Before every campaign, define these three elements:

  • the business goal you want to achieve;
  • the target guests your message;
  • the offer or experience you want to highlight.

This preparation helps avoid overly generic campaigns and allows you to build more relevant emails for your recipients.

1. A low-season offer to fill quiet periods

Some weeks are naturally harder to fill. A dedicated campaign can encourage past guests to take advantage of these quieter times to plan a getaway.

Rather than focusing solely on a discount, highlight what makes a stay during this period appealing : a more peaceful destination, spa access, a breakfast-inclusive package, or an experience available only during the low season.

The benefit offered must, of course, remain consistent with your margins and pricing strategy.

Subject line example: "Your next getaway, far from the crowds"

In the email, clearly present the offer, its validity dates, and what it includes. Then, add a button such as "View the offer" that leads directly to the relevant booking page.

2. A follow-up to encourage past guests to return

A guest may have been very satisfied with their stay without spontaneously thinking about returning to your establishment.

A reactivation campaign is a great way to reconnect with guests who haven't booked in a while.

But avoid a simple "We miss you."

Give them a reason instead a new reason to discover your hotel : a redesigned terrace, a new restaurant menu, renovated rooms, a new service, or a special touch for returning guests.

Subject line example: "A new reason to come back and see us"

Include a recent photo that clearly shows what’s new and invite the guest to check availability.

Also, remember to exclude anyone who already has an upcoming stay booked from this campaign.

3. An invitation to celebrate a birthday

A birthday can be a great opportunity to create a more personal connection.

If you have this information in your customer database and the necessary permissions to use it, you can offer an experience tailored to your property: an overnight stay with dinner, a wellness package, a special in-room amenity, or a package for two.

Subject line example: "How about a getaway for your birthday?"

The guest may not necessarily book for the exact day of their birthday. Be sure to provide a flexible enough window for them to take advantage of the offer.

Keep the tone warm and simple. A few lines, a suitable visual, and a link to the proposed experience are all you need.

4. A campaign centered on a local event

Your hotel isn't always the sole reason for a trip.

A festival, trade show, exhibition, or sporting event can attract new visitors to your destination and give past guests a reason to return.

Build your campaign around the event, then explain how your property makes their stay easier.

Depending on your hotel, this could be:

  • proximity to the event venue;
  • easy access via public transport;
  • parking ;
  • early breakfast available ;
  • an offer created specifically for these dates.

Subject line example: "Get ready for your festival stay here"

Clearly state the event dates and useful practical information.

If your booking engine allows it, the button can lead directly to a search with the relevant dates already selected.

5. A last-minute offer for upcoming availability

Still have a few rooms left for next weekend?

A last-minute campaign can be effective for guests who can plan a trip quickly, especially those living nearby.

Simplicity is key here.

The reader should immediately understand:

  • the relevant dates;
  • what the offer includes;
  • the benefit offered;
  • how to book.

Subject line example: "An impromptu getaway this weekend?"

Use a visual that helps the guest picture themselves there and a clear button like "Check availability".

And if you use a scarcity tactic like "last rooms available," make sure it truly reflects your property's actual availability.

6. A seasonal campaign to sell an experience

Every season brings new reasons to discover a destination.

Autumn can be the perfect time for a gourmet getaway, winter for Christmas markets, spring for outdoor activities, and summer for unique local experiences.

Instead of simply announcing "our autumn offer," build your email around a complete experience.

You can combine:

  • a night at your property;
  • a nearby activity or event;
  • a restaurant recommendation;
  • a suggested walk;
  • a few tips from your team.

Subject line example: "Treat yourself to a gourmet getaway this autumn"

This type of campaign can inspire bookings without necessarily offering a discount.

Its value lies primarily in the hotel's ability to help the guest envision their next stay.

7. An offer tailored to a traveler profile

A family, a couple, and a business traveler do not expect the same things from a stay.

Instead of sending the exact same message to your entire database, you can create campaigns tailored to specific customer profiles.

For families, for example, highlight rooms that are well-suited for them, activities accessible with children, and services that make planning their stay easier.

For business travelers, the message can focus more on location, hours, practical services, or conditions suited to professional travel.

Subject line example: "Your next family getaway starts here"

Only rely on information that is actually available in your database.

The visuals, email content, and landing page must also remain consistent with the targeted profile.

Turning interest into bookings

For every campaign, keep a simple goal: moving the customer from interest to booking.

The reader should quickly understand what they can experience, what you are offering them, and how to take advantage of it.

The timing of your campaign also plays a role. To learn more about this, check out our article on the best times to send an email to your customers.
